Overview

This document explains how operators redeem membership walk-ups and record other walk-up admissions using the Scanner. It covers:

  • Membership QR code scanning
  • Offline membership validation
  • Selecting member ticket types
  • Recording non-ticketed walk-up visitors
  • Sync behaviour when offline

This process is used for members, passholders, and visitors who do not hold pre-purchased tickets.

Correct use ensures that all visits, ticketed or non-ticketed, are recorded against the correct entitlement and reflected in reporting.

1. Membership Walk-Ups

To admit a member, the operator performs the following steps:

Step 1 — Tap Redeem

From the Home screen, press Redeem to activate the camera.

Step 2 — Scan the Membership QR Code

Memberships can be scanned from:

  • Email confirmations
  • Printed cards
  • Digital membership cards
  • Mobile wallet passes

The system checks:

  • Membership validity
  • Status (Active, Expired, Suspended, Awaiting Renewal)
  • Entitlement rules
  • Maximum ticket types allowed under the membership plan

Step 3 — Select the Member Ticket Types

If the membership is valid:

The operator is shown a screen listing the member ticket types available for that entitlement.

Example:

A Family 2 Membership may allow:

  • Up to 2 Adult member tickets
  • Up to 6 Child member tickets

The operator must select the number of visitors to admit, up to the entitlement limits.

Step 4 — Save

Press Save to record the redemption.

A success message confirms the membership walk-up has been logged.

2. Offline Mode for Memberships

Membership scanning remains fully functional offline.

When offline:

  • The operator must visually confirm the membership card shows an active membership.
  • Scanner reads the membership QR code to retrieve the membership ID.
  • Selected member ticket types are recorded as offline walk-up admissions.
  • When the device reconnects, the data automatically syncs to the backend.

This ensures no interruption to member entry during connectivity issues.

3. Recording Other Walk-Ups

Walk-ups represent non-ticketed or operational admissions for visitors who are not part of a booking or membership.

This flow is used for:

  • Educational groups
  • Local resident schemes
  • Complimentary entry
  • Staff or contractor attendance
  • Operational walk-ins

Step 1 — Tap Add Walk-Ups

From the Home screen, select Add Walk-Ups.

Step 2 — Choose Available Walk-Up Types

The operator is shown a list of non-ticketed ticket types configured for the location, such as:

  • Adult Walk-Up
  • Child Walk-Up
  • Local Resident
  • Complimentary
  • Group Leader
  • Venue-Specific Schemes

These options vary between venues and are configured in the Admin Portal.

Step 3 — Press Save

Once selected, the walk-up is recorded and logged under operational attendance.

4. Offline Mode for Other Walk-Ups

Walk-ups can also be recorded offline.

  • Selected walk-up entries are saved locally.
  • They sync automatically once network connection is restored.

This preserves accurate headcount even during outages.

5. How Memberships & Walk-Ups Appear in Reporting

These actions feed into:

  • Attendance reporting
  • Membership usage reporting
  • Operational walk-up reporting
  • Capacity utilisation
  • Entitlement analytics

Entries appear in Redemption History, Scan Records, and Entitlement-related tables depending on the walk-up type and the membership scanned.

Best Practices

  • Confirm the membership card or email belongs to the visitor present.
  • Always select the correct number of member ticket types — avoid over-admitting.
  • Ensure walk-up categories are selected accurately for reporting integrity.
  • When using offline mode, perform a manual sync once connectivity returns.
  • Check sub-location configuration before admitting walk-ups at restricted entrances.
  • Escalate frequent membership scanning errors to supervisors for review.

Troubleshooting

Membership shows as Invalid

Possible reasons:

  • Membership expired
  • Suspended
  • Awaiting renewal
  • Wrong venue or sub-location
  • QR code unreadable
  • (Validate against membership status in system.)

Unable to select enough ticket types

  • Membership entitlement limits reached
  • Wrong membership plan
  • System not synced; refresh cache

Offline membership not syncing

  • Check network connectivity
  • Refresh booking cache
  • Restart the Scanner app

Walk-Up types missing

  • Sublocation may not allow walk-ups
  • Walk-up types not configured in Admin Portal

QR code not scanning

  • Switch to manual membership ID entry via Search → Membership ID
  • Check for screen glare, damage, or obscured QR codes
