This release brings Gift Aid at the point of sale into line with how venues actually sell. Gift Aid can now be claimed on eligible add-ons, not only on ticket donations, and staff placing an order for a customer who has already given consent no longer need to ask again. Venues that do not accept cash can now have cash options hidden from POS, on request. The release also includes changes to ticket search on handheld redemption devices; work on that issue is still in progress and is described below. There are no database migrations and no Admin changes are needed for existing Gift Aid on ticket donations.
POS
Booking and checkout
Gift Aid on eligible add-ons, including add-on-only baskets
Jira: EXN-313
Need
POS only offered Gift Aid on donations attached to admission and membership tickets. Add-ons set up as Gift Aid eligible never showed the Gift Aid prompt, so consent could not be recorded and no Gift Aid receipt or email details were produced.
Change
When a basket contains a Gift Aid eligible add-on, on its own or alongside tickets, POS now shows the existing Gift Aid prompt so staff can record the customer's acceptance or decline. If the customer accepts, consent is saved on the order, a Gift Aid receipt can be printed and the confirmation email includes the Gift Aid details. If the customer declines, checkout continues without Gift Aid. The eligible and reclaim amounts shown in POS and on the receipt now come from the platform's Gift Aid calculation for the whole basket and cover only the eligible items; if that calculation is unavailable, POS falls back to an estimate. Applying a promotion keeps an eligible add-on eligible, with amounts based on the discounted price. Stored customer consent is honoured for add-ons as it is for tickets. Baskets with nothing eligible show no prompt, and Gift Aid on ticket donations works as before.
Known issue: in some cases the Gift Aid screen can be skipped after the basket is refreshed. This also affects passes and is being addressed separately.
Testing
1. Add a Gift Aid eligible add-on to an empty basket and go to checkout. The Gift Aid prompt appears.
2. Accept Gift Aid, complete payment and print the Gift Aid receipt. The receipt shows the Gift Aid declaration.
3. Check the confirmation email for the same order. It includes the Gift Aid details.
4. Start a new basket with the same add-on and decline Gift Aid. Checkout completes with no Gift Aid recorded on the order, receipt or email.
5. Check the eligible and reclaim amounts shown in POS. For an add-on costing £5.00, expect £5.00 eligible and £1.25 reclaim.
6. Build a basket mixing eligible and non-eligible items. The prompt and amounts cover only the eligible items.
7. Build a basket of admission tickets with a donation plus an eligible add-on. The amounts cover the whole basket, not the tickets alone.
8. Build a basket where nothing is Gift Aid eligible. No prompt appears.
9. Apply a promotion to a basket with an eligible add-on. The add-on stays eligible and the amounts reflect the discounted price.
10. Complete an order with no Gift Aid and print the receipt. It shows no Gift Aid section.
Gift Aid screen skipped for customers who have already given consent
Jira: EXN-318
Need
When staff placed an order on behalf of a customer who had already given Gift Aid consent, POS still showed the Gift Aid screen and asked again.
Change
If the selected customer has stored Gift Aid consent and a complete billing address, POS now skips the Gift Aid screen, records the Gift Aid declaration on the order and uses the customer's stored billing address. If the basket already has a billing address, it is kept. The Gift Aid screen still appears when the customer has no stored consent or their stored address is incomplete, and products that are not Gift Aid eligible are unaffected. If the Gift Aid question has already been answered for the basket, that answer stands. Changing or clearing the selected customer, or logging out, removes the previous customer's consent and address from the basket.
Testing
1. Place an order on behalf of a customer with stored Gift Aid consent and a complete UK billing address, add a donation-enabled admission product and continue. The Gift Aid screen is skipped and the order records the declaration with the customer's stored address.
2. Repeat for a customer with no stored consent. The Gift Aid screen appears as normal.
3. Repeat for a customer with stored consent but an incomplete address. The Gift Aid screen appears.
4. For a customer with stored consent, add a product that is not Gift Aid eligible. No Gift Aid screen appears and no declaration is recorded.
5. Answer the Gift Aid question in a basket, then continue. The earlier answer stands and the question is not asked again.
6. Select a customer with stored consent, continue, then change to a customer without consent. The Gift Aid screen now appears and nothing carries over from the first customer.
7. Log out, log back in and start a new booking. No customer, consent or address carries over.
Payments and refunds
Cash payment option hidden where cash is not accepted
Jira: V3-372
Issue
POS showed a Cash option on the payment screen at venues that do not accept cash, so staff could select it by mistake.
Fix
Where cash payments are not enabled, the Cash option no longer appears under Accept payment. The remaining options are Contactless or card and External payment. This is configured per venue and is available on request.
Testing
1. On a desktop POS at a venue where cash is not enabled, open Accept payment. The options are Contactless or card and External payment, with no Cash option.
2. Repeat on a handheld POS. The same options appear, with no Cash option.
Suggested: Issue a refund on the same device and check that no Cash refund option appears.
Sales shifts and cash management
Cash option in the POS menu shown only where cash is accepted
Jira: V3-373
Issue
The POS menu showed a cash option at venues that do not accept cash.
Fix
Where cash payments are not enabled, the cash option in the POS menu is now hidden. All other menu options remain available.
Testing
1. Open the POS menu on a device at a venue that accepts cash. The cash option appears.
2. Repeat at a venue where cash is not enabled. The cash option does not appear and the other menu options are still available.
Scanning
Redemption and attendance
Ticket search on handheld redemption devices (in progress)
Jira: V3-348
Issue
On some handheld redemption devices with a built-in scanner, staff using Search sometimes saw no ticket details after scanning or entering a code, and had to try again.
Fix
Work on this issue is in progress. This release includes changes to the Search screen: the on-screen keyboard now stays hidden unless Manual entry is turned on, so a code cannot easily be submitted the wrong way; if a code is already in the field after a scan, ticket details should still appear even if the screen was interrupted; and repeated presses of the scanner trigger should no longer open the scanner more than once. The issue of ticket details sometimes not appearing on the first scan has not yet been resolved in testing and is still being investigated. The supported ways to search are to press the scanner trigger without tapping the field and wait a moment, or to turn Manual entry on, type the code and press Enter.
Testing
1. Open Search with Manual entry off and tap the ID field. The on-screen keyboard does not appear.
2. Turn Manual entry on, type a valid ticket ID and press Enter. Ticket details appear.
3. Turn Manual entry on, then off again. The keyboard hides, the field clears and scanning with the trigger works again.
4. Scan so that a code shows in the field, switch to another app and back, then wait about a second without pressing anything. Ticket details appear.
Vouchers with no ticket items no longer show an empty-ticket message
Jira: V3-374
Issue
Scanning or entering a voucher with no ticket items showed an empty-ticket message in the walk-up view.
Fix
The empty-ticket message no longer appears for vouchers. It still appears for other memberships with no ticket items.
Testing
1. Scan or enter a voucher with no ticket items and open the walk-up view. No empty-ticket message appears.
2. Repeat with a membership that is not a voucher and has no ticket items. The empty-ticket message appears as before.
Suggested: Scan a voucher that does have ticket items and check they are listed as before.
