POS - Upgrade Tickets to Membership

Introduction

The POS (Point of Sale) system allows customers to convert previously purchased tickets into part-payment toward a new membership.

This feature supports a smooth upgrade path for customers who have already visited a site and now wish to become members, ensuring they receive credit for their existing ticket purchase.

By integrating ticket redemption directly into the membership sales flow in POS, the process reduces manual intervention, improves customer satisfaction, and ensures accurate accounting for applied discounts.

As validation happens in real time through the Expian back end, all redeemed tickets, membership details, and payments remain synchronised and traceable.

The Process

From the Membership section in POS:

  • Select the relevant membership type (e.g. Individual Membership).
  • Choose a payment method (Card or Direct Debit).
  • On the membership creation screen, select Redeem Tickets Toward Cost.
  • Tap Open Scanner and scan the visitor’s existing ticket QR code.
  • The system validates the ticket automatically.
  • If valid, the ticket appears in the Redeem Tickets panel with its credit amount.
  • Press Apply to confirm the redemption.
  • This step is crucial, if Apply is not selected, the ticket is not saved.
  • Continue entering the Lead Member Details (Name, Email, Date of Birth, Phone Number, Address, and Consent).
  • If the email is already linked to an active membership, the system will show an error and prompt you to use a different address.
  • Proceed to checkout.
  • The ticket value is automatically deducted from the total membership cost.
  • Complete payment (Card, Cash, or External) and issue the membership.
  • The usual post-sale options appear, including Print Receipt, Use Membership, Print Membership Card, and Print Membership QR.

Best Practices

  • Always press “Apply” after scanning: The scanned ticket won’t register unless the Apply button is selected, this is a common oversight that prevents the discount from being applied.
  • Validate ticket quantity and eligibility: The POS restricts users from applying more tickets than the selected membership type supports (for example, only one ticket can be applied toward an Individual membership). Staff should still ensure that tickets are suitable for the chosen membership type before completing the sale.
  • Watch for duplicate memberships: If the entered email is already linked to an active membership, POS will display an error. Always create the new record with a unique email to prevent conflicts.
  • Check that Lead Member Details are complete: Even when a ticket has been redeemed, customer details must be entered manually to finalise the membership record.
  • Confirm pricing after redemption: Once tickets are successfully applied, the adjusted total should reflect the redeemed value. Verify this before processing payment.
  • Test the scanner connection daily: Ensure the barcode or QR scanner is connected and functioning before opening sales to avoid checkout interruptions.
  • Communicate the benefit clearly: When upgrading visitors to memberships, explain that redeeming their ticket gives them credit toward the cost, reinforcing value and loyalty.
