Introduction
The Apply Membership functionality in POS allows staff to connect an active membership to a ticket purchase or record a member’s attendance directly from the terminal.
This ensures that all member visits and entitlements are correctly logged in Expian’s central database, maintaining accurate records of member activity and benefits.
By enabling on-site staff to apply memberships seamlessly, this feature improves the visitor experience, allowing members to receive free or discounted access to eligible attractions without delay. It also safeguards operational data integrity by ensuring that only valid memberships are used and that each redemption is captured in real time.
This process can be accessed in two ways: through the Redeem button under Actions, or by locating the membership manually using the Search tab. Both routes ultimately open the same Apply Membership workflow.
Process Overview
- From the Home screen, select Search to open the Search with Details page.

- Alternatively, open the Actions tab and select Redeem – Ticket, Membership & GoCity Passes.

- In the Search view, scan or manually enter the membership ID, or search using details such as name or postcode.

- The relevant membership appears in the Search Results panel, showing the lead member, order ID, product, and status.

- Tap on the membership record to open the full details view.

Applying Memberships
After reviewing the membership information, press Apply Membership.
What happens next depends on which POS device you’re using:
- Mobile POS: You’ll be redirected to the Add Tickets screen. From here, you can either:
- Record attendance only (log the member’s visit), or
- Select a product to apply the membership benefit.
- Scanner: You’ll also be redirected to the Add Tickets screen, but this version only allows you to record attendance, the Select Product to Apply Membership option isn’t available.
- Desktop POS: You’ll be automatically redirected to the Event List screen, where you can choose a product to apply the membership benefit.

- Choose a relevant product (e.g. Tower of London Admission) and select eligible ticket types (e.g. Member Adult, Adult, or Child).



- Depending on the membership’s configuration, some ticket types may show a zero price, indicating that the membership benefit (e.g. free entry) has been successfully applied.
- Proceed as required to confirm or complete the booking.
Best Practices
- Ensure the membership is active before attempting to apply it, as expired memberships cannot be used.
- Always verify the correct member record before proceeding to prevent data inaccuracies.
- Use the Redeem function for faster scanning, especially in busy or high-traffic environments.
- When adding tickets, double-check that eligible ticket types (e.g. Member Adult) are used; not all product types qualify for membership application.
- If a membership is successfully applied, confirm that the ticket price updates correctly (often to £0).
- Maintain consistency by recording attendance even if no ticket purchase is made, as this keeps visit data complete.
