Introduction
The POS (Point of Sale) system allows staff or visitors to renew existing memberships quickly and securely, either at self-service kiosks or staffed terminals.
This ensures that returning members can continue their benefits seamlessly, without interruption, while maintaining accurate membership and financial records across Expian’s central database.
Renewal is available only for memberships with an Active – Awaiting Renewal or Expired - Awaiting Renewal status. Once a membership is eligible, the Renew Membership button becomes active. From here, staff (or the member) can renew at the same level, upgrade, or downgrade, depending on the available membership types. The process closely mirrors the purchase flow, providing a consistent and familiar experience while preserving existing member data.
By integrating renewals directly within POS, Expian reduces administrative effort, improves customer retention, and maintains full data synchronisation between the POS and the Reservation Portal.
Renewing through POS also allows real-time payment capture, card or cash handling, Gift Aid configuration, and immediate confirmation, supporting both operational efficiency and customer satisfaction.
Renewal Flow Overview:
- Select Renew Membership on an active record.
- Choose the desired membership type (same level, upgrade, or downgrade).
- Select a payment method: Card or Direct Debit.
- Update any missing or changed member details (e.g. additional adult, contact info, or consents).
- Optionally configure Gift Aid (e.g. Don’t Claim if not eligible).
- Once payment is processed:
- If the existing membership is Active – Awaiting Renewal, the system keeps the current record open until expiry and creates an Upcoming membership for the new term. Staff can toggle between these via the Upcoming Membership button and print cards or receipts for either.
- If the membership is Expired – Awaiting Renewal, it renews immediately and becomes Active, without generating a separate upcoming record.
By maintaining both the current and upcoming membership records, Expian ensures complete transparency, members can continue using their current benefits until renewal activation, while the upcoming period is already pre-registered and ready to begin automatically.
Best Practices
- Verify Renewal Eligibility: Only memberships in “Awaiting Renewal” can be processed. Check the current expiry before starting.
- Ensure Accurate Member Details: Always confirm that names, contact info, and consents (including Gift Aid preferences) are current and complete before finalising the renewal.
- Distinguish Between Upgrade and Renew: The flows are visually similar, upgrades only allow higher-tier plans, while renewals can include same-level or lower-tier changes.
- Review Pricing Adjustments: Membership pricing may differ based on payment method (Card vs. Direct Debit). Confirm before processing.
- Check for Active Memberships: When renewing or updating, POS automatically uses the existing membership record and the email cannot be changed. For new memberships, if the email is already linked to an active record, POS will flag it to prevent duplicates.
- Communicate Upcoming Activation: Remind members that the new membership activates on a future date. Use the Upcoming Membership toggle to confirm this visually.
- Print Both Current and Upcoming Cards (If Applicable): Ensure members receive the correct documentation for both memberships when transitioning between terms.
