Custom Fields

Overview

Custom Fields allow you to capture additional booking information that is specific to your organisation or product, beyond the standard information collected during the booking process.

They are configured in the Admin Portal and can be grouped logically to ensure booking forms remain clear, structured, and easy for customers to complete. Once created, Custom Fields can be assigned to Admissions or Events products and will appear consistently in the B2C booking flow, reservations portal, and order details.

Custom Fields provide a flexible way to tailor the booking experience without changing core system behaviour.

Why Custom Fields Matter

As organisations grow, so does the need to collect structured, meaningful information at the point of booking.

Custom Fields help you to:

  • Capture information that is specific to certain products or audiences
  • Reduce reliance on manual notes or external spreadsheets
  • Keep booking forms organised and user-friendly
  • Ensure consistency across B2C, reservations, and order management
  • Make additional data visible and editable where appropriate

Used well, Custom Fields improve data quality while maintaining a smooth customer experience.

Section 1: Setting Up Custom Fields (Admin Portal)

Accessing Custom Fields

  1. Navigate to Admin Portal
  2. Select Building Blocks
  3. Click Custom Fields

This area allows you to manage both Custom Field Groups and the Custom Fields within them.

Creating a Custom Field Group

Custom Field Groups are used to organise related fields together in the booking form.

Examples of groups might include:

  • Pass details
  • Customer information
  • School group information
  • QA testing

Steps

  1. Click Add a new custom field group
  2. Complete the Description tab:
    • External ID
    • Used for external references and APIs
    • Use lowercase letters, dashes, and no spaces
    • Customer-facing name
    • This is the label shown in the booking flow
    • Description
    • Helps users understand when to use this group
    • Click Save

The new group will now appear in the list and can be expanded to add fields.

Creating a Custom Field

Once a group has been created, you can add Custom Fields to it.

Steps

  1. Expand the required Custom Field Group
  2. Click Add a new custom field
  3. Complete the field configuration:
    • External ID
    • Title (customer-facing label)
    • Type of custom field
    • Placeholder text (optional)
    • Description (optional)
    • Error message (used when the field is mandatory)
    • Field group (select the group this belongs to)
    • Display order (controls the order fields appear)
    • Click Save

The field will now appear under the selected group.

Custom Field Types

The following field types are available:

  • Text input
  • Short, single-line text (e.g. School name)
  • Text area
  • Longer, paragraph-style input
  • Option select
  • Dropdown list allowing a single selection
  • Radio select
  • Multiple options displayed with radio buttons
  • Checkbox
  • A single tick-box option (e.g. Yes / No)
  • Date entry
  • Allows the user to select or enter a date

Radio Select Example

For radio or option select fields, you can define:

  • Option label
  • Option value
  • Sort order (controls display order)

Section 2: Assigning Custom Fields to Products

Custom Fields only appear in bookings once they have been assigned to a product.

Accessing Product Configuration

  1. Navigate to Admin Portal
  2. Select Products
  3. Choose Admissions or Events
  4. Edit the required product
  5. Open the Important Info tab

Adding Custom Booking Fields

Within the Custom booking fields section:

  • Existing fields are displayed with:
  • Group name
  • Sort order
  • Mandatory setting
  • Per-customer setting
  • You can:
  • Adjust the display order
  • Set whether a field is mandatory
  • Choose whether it applies per customer or per booking
  • Remove fields if required

To add a new field:

  1. Click Add custom booking field
  2. Select a Custom Field from the list
  3. Save the changes

Section 3: Custom Fields in the Booking Flow (B2C & Reservations)

When Custom Fields are added to a product, a Booking Information step appears during checkout.

Booking Information Step

  • Appears after tickets are added to the basket
  • Displays all assigned Custom Fields
  • Fields marked with * are mandatory
  • Per-customer fields repeat for each ticket holder
  • Optional fields may be left blank

This step appears in:

  • The B2C booking flow
  • The Reservations Portal

Completing a Booking

  • Customers complete the Booking Information step
  • The booking then proceeds through:
  • Booking details
  • Address details
  • Payment
  • Once payment is completed, the order is confirmed as normal

Custom Fields do not change the standard booking journey — they simply extend it.

Section 4: Viewing Custom Fields in Order Details

Order Details Page

Once an order has been completed:

  • Standard customer details are shown
  • Additional Custom Field data appears:
  • Per customer (where applicable)
  • Only if the information was provided

If a field was optional and not completed, it will not be displayed.

Order Extension Details

Additional Custom Field information is also available via:

More Actions → Order Extension Details

This displays:

  • All Custom Field data collected for the order
  • Grouped logically as configured
  • Clearly labelled for easy review

Editing Custom Field Data

If information needs to be updated:

  1. Open Order Extension Details
  2. Amend the required fields
  3. Click Save Changes

This allows authorised users to correct or update information directly within the Reservations Portal.

Best Practices

  • Group related fields together to keep forms clear
  • Avoid duplicating standard booking fields
  • Use mandatory fields sparingly
  • Prefer dropdowns or radio selects over free text where possible
  • Use clear, customer-friendly labels
  • Review Custom Fields periodically and remove unused ones
